Common Payday Super data issues and how to avoid them

With Payday Super now in place, super contributions are being made more frequently and within tighter timeframes. Accurate contribution data has always been important, but under Payday Super, even small errors can lead to delays, rework and additional administration.

While many employers have successfully transitioned to the new requirements, we're starting to see some common data and submission issues emerge. Understanding these issues can help you reduce processing delays and keep your contributions moving smoothly.

Take extra care when adding new or changed super fund employees

Most Payday Super issues can be prevented at onboarding. While super contributions generally need to be received by a super fund within 7 business days of payday, you'll have 20 business days to make the first contribution for a new employee or an employee who has changed super funds. 

Before making the first contribution, ensure the employee's super fund membership and contribution details are set up correctly. Depending on how you submit contributions, this may include registering the employee through your payroll software or clearing house. Where supported, Member Verification Requests (MVRs) can help verify employee super fund details before a first contribution is submitted. 

Before making that first payment, take time to capture, validate, verify and set up new employee information correctly.

Capture Validate Verify Set up 
  • Seek super fund choice details early.
  • Using the employee’s Choice of super fund form to collect and confirm full name, date of birth, residential address, member account number (where applicable) and TFN (if the employee has provided it).
  • Ensure first and last name match the details held by the employee's super fund.
  • Check date of birth is accurate and in the correct format.
  • Confirm address is valid, ensuring the suburb, state and postcode align.
  • Check gender values match SuperStream requirements.
  • Fix any validation issues before payday.
  • Confirm employee and super fund details are correct before submission.
  • Where available, use an MVR to verify super fund details before the first submission.
  • Some systems, including the AustralianSuper Employer Portal1, may automatically initiate a MVR request when using the onboarding functionality and it is worth checking with your provider.
  • Complete any required fund onboarding steps before the first contribution.
  •  Ensure employee membership, contribution details and super fund registration are recorded correctly in your payroll software or clearing house before submitting the first contribution.

Missing or incorrect employee information

We're also seeing contribution records submitted with incomplete or incorrect employee information. Key details such as an employee's name, date of birth, TFN (where provided) and member account number help super funds verify member information and allocate contributions correctly. Missing, inaccurate or inconsistent information can make it harder to match contributions to the correct member account and may require additional investigation before contributions can be processed.

Avoid using placeholder information 

Some employers are populating optional fields with invalid or unrelated information, including all-zero TFNs or member account numbers that are too long. If a field is optional and the correct information is not available, it's generally better to leave the field blank rather than enter placeholder values. Invalid data can create additional processing issues and make it harder to verify employee records.

Employee and super fund details aren't kept up to date

Employee information can change over time. Changes to an employee's name, address, super fund or member account details should be updated in your payroll system as soon as possible. Outdated or inconsistent information can create matching issues and increase the likelihood of follow-up being required before contributions can be allocated.

Tip: If an employee updates their details with you, remind them to update them with their super fund too. Most super funds cannot accept member detail changes from employers.

Information doesn't match across systems

Employee and fund details should be consistent across your payroll system, clearing house and any other systems used to manage super contributions. Differences between systems can create matching and processing issues, particularly when employee or super fund details have recently changed. Encourage your employees to also keep their details up to date with both you and their super fund to help reduce processing delays and data mismatches.
